How we use your information

This notice explains what personal information we collect when you use this website or book with us, why we collect it, who we share it with and what your rights are. It has been prepared to reflect how our booking system works; it should be reviewed by a solicitor before the site goes live.

1. Who we are

Spin Doctor UK Ltd ("we", "us") is the data controller for the information described here. You can contact us about anything in this notice at enquiries@spindoctoruk.co.uk or on 01279 310793.

2. What we collect

  • Contact and address details: your name, mobile number, email address, the address and postcode where the appliance is, and whether you are the resident, tenant, landlord, letting agent or a business.
  • Booking details: the appliance, make and model, the fault you describe and your answers to our fault-finding questions, the day you choose, times you can't do, how much notice you want before the engineer arrives, parking and access notes, and how you heard about us.
  • Other people's details you give us: if you are a tenant, your landlord's or agent's name and phone number; if you are a landlord or agent, the tenant's name and phone number so the engineer can arrange access.
  • Order details: the appliance you buy and the delivery, installation and removal options you choose.
  • Payment confirmation: whether a payment succeeded, the amount and a payment reference. We never see or store your card number: payments are made on Worldpay's own secure page.
  • Technical information: your browser keeps a small amount of data on your device so the site works (see cookies below). We do not run advertising trackers on this site.

3. Why we use it and our lawful basis

  • To carry out your booking or order (performance of a contract): scheduling the visit, sending the engineer, delivering and installing an appliance, taking payment and sending you confirmation and "on the way" texts.
  • To run our business (legitimate interests): keeping records of jobs, parts fitted and payments, handling questions or complaints, preventing fraud, and improving the booking process.
  • To meet legal obligations: keeping accounting and tax records, and responding to lawful requests.
  • Marketing (consent, or the "soft opt-in" for existing customers): we will only send marketing messages if you have agreed, or if you are an existing customer and we are telling you about similar services, and you can opt out at any time.

4. Who we share it with

We only share what each provider needs to do its job:

  • Worldpay (payment processing). Your card details are entered on Worldpay's page and handled under Worldpay's own privacy notice.
  • ServiceM8 (our job management and diary system), which holds the job, your contact details and the engineer's notes.
  • Twilio (text messages) and our email provider, to send booking confirmations and updates.
  • Netlify, which hosts this website and runs the booking form.
  • Our engineers, who see the job details needed to carry out the visit.
  • Letting agents and landlords, where they are the account holder or bill payer for a job at a rented property.

We do not sell your information. Some of these providers may process data outside the UK; where they do, they rely on safeguards recognised under UK data protection law (such as the UK's adequacy decisions or standard contractual clauses).

5. How long we keep it

  • Job and payment records: 6 years after the job, to meet accounting and tax rules and to deal with any guarantee claims.
  • Booking enquiries that don't become a job: up to 12 months.
  • Photos you send us of an appliance: until the job is complete and any guarantee period has ended.
  • Marketing preferences: until you opt out, and then a record that you opted out.

6. Cookies and similar technology

This website uses your browser's local storage, not tracking cookies, for two things only: remembering items in your basket, and remembering a booking reference while you pay so we can show you the right confirmation page. Nothing is used to track you across other websites. Google Fonts and Google Maps are loaded on some pages; Google may record your IP address when those load.

7. Your rights

Under UK GDPR you can ask us to: give you a copy of the information we hold about you; correct anything that is wrong; delete it where we no longer need it; restrict or object to how we use it; and, for marketing, stop at any time. Email enquiries@spindoctoruk.co.uk and we will respond within one month. If you are not happy with how we handle your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

8. Children

Our services are for adults. We do not knowingly collect information from anyone under 18.

9. Changes

We will update this notice if how we use information changes, and show the date at the top.
